Conciseness, clarity and visuals: preparing to present in public

If you are a team manager, it is quite likely you will need to present something from time to time, such as sharing your team’s results, introducing a new product, or outlining future plans. Practice tends to show, however, that presentations are often lengthy, unengaging, and provide little value to the audience. So how to create a presentation that is captivating and effective? Here are five tips.

Tip no. 1: No long texts

As PresentationMagazine states, a presentation is a visual medium, not a text-filled document. Avoid long paragraphs, complex sentences and endless lists. Communicate information clearly and concisely, structuring it into visually separated sections. If there is too much text, use more slides instead.

Tip no. 2: The element of surprise

Don't introduce the presentation's content in advance. Instead, use strong visuals and surprising information, such as a single slide with a prominent statistic. Utilise the element of surprise. The more space given to a key message, the more attention it will receive.

Tip no. 3: The 40:20:40 rule

A successful presentation is based on three pillars:

  • 40% content and text in the presentation: people often overestimate the importance of text in their spoken presentation, but it actually accounts for only 40% of the overall impression.
  • 20% design: the visual appearance of slides should support the message, not distract from it.
  • 40% delivery: how the presentation is verbally delivered is just as important as its content.

Tip no. 4: In terms of colour and visual elements, less is more

Too many colours or inconsistent graphics can be counterproductive. Stick to a few basic shades and use contrast to highlight key information. Bold elements should be used sparingly, like seasoning in food.

Tip no. 5: Images, charts, and other visual aids

Images and graphics can enhance a presentation, but avoid such clichés as, say, a handshake symbolising cooperation. Use original visuals – ideally your own – to add authenticity. A photograph spanning the entire slide can emphasise emotion and reinforce the message.
